Conditions of Participation
organum moda
These Conditions of Participation apply to all participants accepted into the organum moda [o. m.] residency programme.
The programme is organised by Inštitut abeceda.abeceda, Dunajska cesta 10, 1000 Ljubljana, Slovenia, operating as .abeceda Institute, hereafter referred to as the Organiser.
1. Acceptance and Confirmation
Admission to o. m. is subject to formal acceptance by the Organiser.
Following acceptance, applicants are invited to confirm their participation within the stated deadline.
Confirmation of participation constitutes a commitment to the programme and acceptance of these Conditions of Participation.
If confirmation and/or the required first payment is not received within the stated deadline, the Organiser may release the participant's place.
2. Participation Fees and Payment
The applicable participation fee is stated in the application information and confirmed upon acceptance.
A one-time administrative fee applies to confirmed participants and is charged in addition to the participation fee. Where payment by instalments is agreed, the administrative fee is payable with the first instalment.
Where payment by instalments is selected, the participant remains responsible for the full agreed participation fee according to the communicated payment schedule.
Failure to meet the agreed payment schedule may result in suspension or termination of participation.
Scholarships, reductions, or alternative payment arrangements apply only where confirmed in writing by the Organiser.
3. Withdrawal and Refunds
Where a participant qualifies as a consumer and a statutory right of withdrawal applies under applicable consumer protection legislation, the participant may withdraw from the participation agreement within fourteen (14) days from its conclusion, without giving a reason, by sending an unequivocal statement of withdrawal to the Organiser at info@abeceda.io.
Subject to any such statutory withdrawal rights, once the applicable withdrawal period has expired, participation and administrative fees are non-refundable.
This applies in the event of:
– withdrawal before or after the programme has commenced;
– withdrawal during the programme;
– non-attendance or partial participation;
– cancellation by the participant;
– inability of the participant to complete the programme.
Where payment by instalments has been selected, withdrawal or non-attendance does not release the participant from the remaining agreed payment obligations.
These provisions remain subject to any mandatory rights available under applicable law.
4. Programme Commitment
o. m. is conceived as an integrated residency combining independent artistic practice, collective exchange, online seminars, artistic development, rehearsal and experimentation, and in-person programme activities.
Participants are expected to:
– attend and actively engage with scheduled programme activities;
– present and discuss their artistic practice as required by the programme;
– meet communicated artistic and administrative deadlines;
– prepare materials requested for presentations, documentation, or programme communication;
– maintain professional communication with mentors, participants, collaborators, and the coordination team.
Participants are responsible for informing the Organiser as early as possible of circumstances affecting their participation.
5. Programme Schedule and Changes
The Organiser may make reasonable changes to the programme where required by artistic, academic, organisational, logistical, technical, or other circumstances.
Changes may include adjustments to:
– seminar dates or times;
– mentors, moderators, or collaborators;
– programme sequence or format;
– presentation schedules;
– venues;
– festival activities;
– online or in-person delivery
– performing forces, ensemble configuration, repertoire, or production arrangements.
Where possible, participants will be informed of significant changes in advance.
Reasonable adjustments that do not materially alter the overall character of the residency do not constitute cancellation of the programme or automatically give rise to a right to reimbursement.
6. Artistic Presentations
o. m. is a process-based residency. Projects may enter the programme at different stages of development and are not expected to remain fixed in the form proposed at application.
Participants are responsible for the content and preparation of their own artistic presentations.
Participants acknowledge that works, repertoire, instrumentation, interpretative approaches, performance concepts, technical arrangements, and presentation formats may develop through discussion, experimentation, rehearsal, testing, and critical reflection.
Participants may therefore be expected to clarify, revise, reduce, reorganise, substitute, or otherwise adapt aspects of their project where this becomes necessary or artistically relevant within the residency process.
The form, duration, format, and scheduling of presentations may be adapted to the requirements of the programme and festival.
Depending on the artistic premises and development of each project, the final format may include performances, premieres, first public realisations, lecture-performances, interpretative or rehearsal laboratories, research presentations, recontextualised interpretations, or other formats developed within the residency.
Acceptance into the programme does not guarantee a particular repertoire outcome, premiere, performing force, ensemble configuration, number of performances, rehearsal allocation, or predetermined form of public presentation.
Participation in o. m. does not guarantee publication, external dissemination, or presentation by any third-party journal, publisher, institution, or platform unless such an opportunity is separately confirmed in writing.
Any editorial or publication process offered in collaboration with an external partner may be subject to separate selection, editorial review, deadlines, and conditions.
7. Performing Forces and Adaptation of Works
The Organiser coordinates performers, conductors, ensembles, and other artistic resources with the aim of enabling the presentation of participating works during the festival.
The continued participation or availability of any individual performer, conductor, ensemble member, or ensemble cannot be guaranteed.
Where changes to the available performing forces become necessary, composers are expected to adapt their works to the available instrumentation or circumstances where reasonably possible.
The Organiser will provide reasonable coordination support but is not obliged to provide substitute performers, conductors, ensemble members, or ensembles where a collaborator withdraws or becomes unavailable.
Participants are responsible for communicating the essential instrumentation, technical requirements, duration, performance conditions, and other practical requirements of their proposed works sufficiently in advance.
Where an exact proposed realisation is no longer possible, participants are expected to develop an appropriate alternative in consultation with the Organiser and mentors where reasonably possible.
Adaptation may include changes to instrumentation, ensemble size, repertoire, sequencing, duration, technical setup, performance format, or other aspects of the proposed project.
Where adaptation is not reasonably possible, the affected work may not be performed during the festival.
Such circumstances do not in themselves entitle the participant to reimbursement, provided that participation in the broader programme remains available, subject to applicable mandatory law.
8. Rehearsals and Production
Participating works are developed within the rehearsal, ensemble, acoustic, spatial, technical, and production conditions available to the programme.
The Organiser determines the precise rehearsal and production framework according to the artistic, technical, organisational, and festival requirements of the relevant edition.
Participants are expected to arrive adequately prepared for rehearsals and to remain open to changes arising from the practical realities of ensemble work.
Rehearsal time, ensemble availability, technical resources, and production conditions cannot be guaranteed beyond those expressly communicated by the Organiser.
The Organiser is not obliged to provide additional rehearsal time, performers, technical equipment, or production resources solely to accommodate requirements originally proposed by a participant.
Where a project requires substantial additional resources, the participant may be required to adapt the project to the resources reasonably available within the programme.
9. Special Instruments, Technologies and Technical Requirements
Projects involving electronics, amplification, technologies, specialised equipment, unconventional setups, spatial configurations, or other resources beyond those ordinarily provided by the programme must be communicated sufficiently in advance.
Their use is subject to technical feasibility and prior agreement with the Organiser.
Unless otherwise confirmed in writing, the Organiser is not responsible for sourcing specialised instruments, technologies, accessories, equipment, or materials outside the available programme resources.
Where participants provide their own additional equipment or materials, they remain responsible for their transportation, insurance, security, compatibility, and condition.
10. Use and Care of Equipment and Spaces
Participants must handle equipment, spaces, instruments, technical resources, and other facilities provided by the Organiser and participants with appropriate professional care.
Any preparation, modification, attachment, treatment, or use of materials that may affect equipment, instruments, or venues requires prior approval by the Organiser.
Participants must follow communicated instructions concerning the use of equipment and spaces and report any damage, malfunction, or technical issue without delay.
Equipment and materials may not be removed from designated premises or materially modified without prior authorisation.
Participants may be held responsible, subject to applicable law, for damage resulting from negligent, improper, or unauthorised use.
11. Responsibilities of Participants and Artistic Projects
Participants remain individually responsible for the preparation and development of their artistic projects, including the timely provision of scores, recordings, programme materials, technical information, and other resources required for their participation.
Participants are expected to engage constructively and professionally with performers, conductors, ensembles, mentors, collaborators, and production personnel involved in their projects.
Participants are responsible for communicating material changes to their proposed projects to the Organiser without delay.
Where a change materially affects the proposed artistic realisation, participants are expected to develop an appropriate alternative in consultation with the Organiser and mentors where reasonably possible.
12. Auditors
Auditors may attend the programme activities specified for the relevant edition and participate in discussions where appropriate.
Unless otherwise explicitly agreed, auditors:
– do not present their own artistic project;
– are not included among the programme's documented presentations;
– do not receive an individual artistic production allocation.
13. Festival Participation and Travel
Participants attending the in-person programme are responsible for their own travel, accommodation, insurance, visas, meals, and related personal arrangements unless explicitly stated otherwise in writing. Participants joining the programme online are responsible for ensuring adequate internet access, equipment, and technical setup required for their participation.
Participants are expected to attend, either in person or online as applicable, the festival activities, presentations, rehearsals, laboratories, or other sessions relevant to their project according to the communicated schedule.
14. Public Programme Information
o. m. includes public artistic and educational activities.
Information necessary for presenting and documenting the programme may therefore be made publicly available, including:
– participant names;
– biographies and professional affiliations;
– titles and descriptions of artistic projects;
– ensembLe names and members;
– programme credits;
– photographs supplied for programme purposes.
Such information may appear in programme books, publications, websites, press materials, social media, festival communications, and institutional archives.

15. Photography, Recording and Documentation
Programme and festival activities may be photographed, filmed, audio-recorded, livestreamed, or otherwise documented for purposes connected with the presentation, communication, documentation, and archival record of o. m. and its associated activities.
Such documentation may remain publicly accessible as part of the artistic, research, institutional, and historical record of the programme.
Where a specific use requires additional permission or licensing, this will be addressed separately.
16. Intellectual Property
Participants retain copyright and other intellectual property rights in their original artistic work unless otherwise agreed in writing.
By participating in the programme, participants authorise the presentation of materials submitted for the purposes of their participation and their reasonable use in programme documentation, communication, and archival materials.
Participants are responsible for ensuring that materials submitted or presented by them do not unlawfully infringe third-party rights and for obtaining any necessary permissions.
Participants are additionally responsible for ensuring that scores, recordings, editions, arrangements, programme materials, and other third-party materials used in their projects may lawfully be used in the relevant rehearsal, presentation, performance, documentation, or research context.
Publication or extended reproduction of a participant's work beyond ordinary programme documentation will be subject to separate arrangements where required.
17. Professional and Academic Conduct
Participants are expected to maintain professional, respectful, and academically responsible conduct throughout the programme.
Serious misconduct, harassment, repeated disruption, plagiarism, material misrepresentation, or substantial breach of programme obligations may result in restriction or termination of participation.
Where appropriate, the participant will be informed of the issue and given a reasonable opportunity to address it.
Termination resulting from a serious breach by the participant does not automatically create a right to reimbursement, subject to applicable law.
18. Cancellation or Material Changes by the Organiser
If the Organiser cancels the programme in its entirety and does not provide a substantially equivalent alternative, participants will be entitled to reimbursement of participation fees paid for programme services not provided, subject to applicable law.
Where circumstances outside the Organiser's reasonable control affect individual seminars, presentations, personnel, venues, festival activities, or practical components, the Organiser may provide an alternative schedule, format, venue, collaborator, or comparable programme activity where reasonably possible.
Such circumstances may include changes affecting performer or ensemble availability, rehearsal conditions, technical resources, production arrangements, venues, or festival activities.
Reasonable adjustments that do not materially alter the overall character of the residency do not in themselves constitute cancellation of the programme or automatically create a right to reimbursement.
15. Privacy and Data Protection
Personal data is processed in accordance with the o. m. Privacy Policy and applicable data protection legislation.
16. Applicable Rights
Nothing in these Conditions is intended to exclude or restrict rights that cannot lawfully be excluded under applicable consumer or other mandatory legislation.
If any provision of these Conditions is found to be invalid or unenforceable, the remaining provisions remain applicable to the extent permitted by law.
